WorkHoaly

Invite-only betaHOA platform · Our own product

The HOA app owners actually open.

Hoaly puts every dollar, every repair and every rule of a condo or HOA on the owner’s phone. Boards run votes, dues, reserves and documents from the same app, and staff post finished work with one tap.

The problem

Condo owners pay real money every month and rarely see where it goes. Notices land in spam, dues go by paper check, votes run on paper proxies, and staff work is invisible.

What we built

One account across every HOA an owner belongs to, an owner hub per association, board tools, a staff app, document orders for agents and lenders, and a headquarters view that runs it all.

How fast

First commit on October 7, 2026. Live on its own domain the next day. 23 days in: 117 screens, 97 data tables and 28 automations. Weeks three and four added Ask Hoaly, meeting notes, a dues dashboard and a financial report.

Where it is

Invite-only beta at hoaly.app. Snowshoe Mountain, West Virginia is the first community, with all 31 of its associations listed. Anyone can open the sample association at hoaly.app/demo, no sign-up needed.

Owner hub

Everything an owner needs, on one screen.

Home shows what needs you today: dues, the next meeting, repairs in progress and the latest work. Ask Hoaly opens from any screen, knows the page you are on and answers from the association’s own documents.

  • For you: only the things that need this owner, then “You are all caught up”
  • Ask Hoaly on every screen: answers with the section cited, “Show me” links and drafted repair reports
  • Activity: finished staff jobs and notices as they happen
  • Ideas for the next meeting: owners suggest and upvote, and the top ones join the agenda on their own
  • One account for every unit and every HOA, shared with a spouse

Open books

Every dollar, out in the open.

The budget, last year’s actuals and the reserve fund, line by line. Books sync from QuickBooks or the bank, and Money watch flags anything odd before the board has to ask.

  • Where the money goes, by budget line, with last year against plan
  • QuickBooks and bank sync that learns how each payee is sorted
  • Money watch: 11 checks for double payments, new payees and missed transfers
  • Reserve planner with a 30-year view, and a budget builder that shows the dues impact per unit
  • Financial report and Trends: budget against spending, why it went over, and spending against inflation

Dues

Dues that go straight to the association.

Owners pay by bank transfer, card or autopay, or tell the board they paid by check. Money lands in the HOA’s own account. Hoaly never holds it.

  • Online payments to each association’s own account
  • Autopay by bank, monthly, quarterly or yearly
  • Owner-reported payments the board confirms in one tap
  • Dues dashboard: collected, late by group with one-tap reminders, and a trend chart
  • Switching is easy: paste in old records from another tool, and the ledger never double-bills

Meetings and votes

Quorum you can watch fill up.

RSVPs, signed proxies and a quorum bar weighted by each unit’s votes. During the meeting, owners vote live from their phones, and elections run on secret weighted ballots with certified results.

  • Live meeting room: the board asks, owners vote, results post to Decisions
  • Elections with candidates, secret weighted ballots and cumulative voting
  • Signed proxies, directed or general
  • Reminders and calendar invites that go out on their own
  • Meeting notes by Hoaly: summary, decisions, action items and draft minutes for the board to approve

Staff app

Staff post once. Owners hear everywhere.

Staff open a private link, no password. Jobs come first, with checklists and photos. Finished work fills the owner feed automatically, and private unit items go only to that owner.

  • My jobs with checklists, photos, hours and cost
  • Packages logged in seconds, owners told right away
  • Tell owners: one post reaches everyone by email, push and the app
  • One-tap replies from owners, with a nudge to anyone who has not answered
  • Repeating reminders for routine work

Board tools

An HOA that mostly runs itself.

Six most used tools up front and everything else one search away. Bids turn into board votes, deadlines from the governing documents show up on time, and a Monday brief tells the board what needs them this week.

  • Board e-votes, with bids that become a vote in one tap
  • Board inbox for owner messages, answered by email
  • Resale orders in 3 taps: rush suggested from the closing date, e-signed, and escalated if no one answers in 24 hours
  • Deadlines from the governing documents, with reminders
  • Setup from your files: drop in or email PDFs, Word or spreadsheets and Hoaly sorts them into rules, budget and owners

Custom builds

The hard parts, done carefully.

Weighted, secret, certified votes

Each unit votes with its own weight, down to fractional commercial units. Cumulative voting, signed proxies, a live room that updates every few seconds and results the board certifies.

Money that never touches Hoaly

Stripe Connect sends every payment straight to the association’s own account, with bank autopay, fee rules per HOA and verified webhooks.

Books that watch themselves

QuickBooks and bank feeds, with sign-in tokens locked in a vault. Every transaction is sorted to a budget line and checked against 11 fraud rules.

28 automations, no babysitting

Scheduled jobs and webhooks: meeting reminders and packets, dues reminders, vote closing, money sync, a Monday board brief, a monthly owner brief and resale order escalation. Every run is logged and never sends twice.

Security in the database

Every table is locked. All reads and writes go through reviewed database functions, sessions are stored only as hashes, and sign-in uses Face ID or a one-time code.

Answers with sources

Ask Hoaly searches the association’s own documents and data, shows the section it used and has a fair-use limit per person. Meeting notes and file sorting run in the background.
